A key component to the success of our SaaS is the MySmartPlans’ Project Information Manager (PIM). We assign a highly trained PIM to work directly with each project and your A/E/C/O team. The PIM is responsible for optimizing project documents for search-ability, size and performance, and ensures a certain level of QA/QC.
On the software side, MySmartPlans has created a hybrid desktop application that stores plans, documents, videos, and other project information both locally and on the internet. Our core technology provides a very strong advantage over traditional plan rooms, FTP or any solely web-based solution. Unlike plan rooms or FTP sites, we provide a single virtual workroom where project information is brought together from all participants tracking changes, verifying requirements and keeping plans and other documents up to date.
Being a hybrid application, we can customize the dashboard for each project to make it look and function the way our customers want it to and it also allows us the ability to distribute project related documents, images or multimedia files, regardless of file format. MySmartPlans users can print, copy and manipulate the information on their desktop without having to go on the web and go through the browser every time they want to look at a piece of information. This core technology is a huge advantage over any that are out there and allows full functionally of the file for individual users.

Architects, engineers, project owners and general contractors often use special software to create and manage project information. A common comment is, “I’m already using Prolog, ISQFT, Timberline, Expedition, eBuilder, SharePoint, …” or any number of the other products out there. One thing to keep in mind with MySmartPlans is that we work with all software products and in most cases will enhance the existing technologies by providing a much higher service level. Many software products are built around a particular need or function such as RFI’s, accounting, estimating or scheduling, but very rarely deal very strongly with the document distribution process.
Most software “solutions” handle distribution by providing you with a link back to their on-line plan room. These plan rooms, although functional, are often confusing for end users. You don’t have to go very far to talk with people that log into an existing system and find it hard to use. One of the real challenges of any document distribution system is dealing with hundreds of people on a project. Prolog, Expedition and ISQFT work very well behind the firewall of companies using them, but once outside those firewalls it is very difficult to get the information to be used by anyone else.

MySmartPlans is designed specifically for every project phase, from pre-design through pre-con, bidding and construction, and wrapping up the project with our closeout module which is the strongest in the industry. Because there is virtually no learning curve, team members can start utilizing the application immediately, from the design team to sub-contractors.
With plan rooms and FTP, team members and sub-contractors need to remember login-ins and passwords and then you have to count on them to find, download and manage the project information. With MySmartPlans a person registers for the project dashboard one time only. After they register, MySmartPlans is quickly installed on their desktop with a “Bob the Builder” icon and the project name under the icon. From this point forward any project information that is sent to and processed by the MySmartPlans PIM is optimized, processed and pushed out to each team member within minutes (depending upon the number of pages).
Pre-design and Pre-con: We give your A/E/C/O team up-to-the-minute project status with a one-stop location for plans, specs, distribution lists, project directories, schedules and electronic redline review with accountability. MySmartPlans also provides automatic links to LEED, BIM, or any other information your team needs to have available to them. During review processes, comments are updated instantly. Drawing details and cuts can be linked to other detailed drawings, sheets, websites, or specifications.
MySmartPlans gives full transparency to the project, which greatly improves team effectiveness, project communications, accountability and TRUST.
Bidding and Construction: The direct links to detailed weather conditions, your project site video-cam, plan holders, RFI’s, submittals, safety information, first-responder information, etc. provide significant value. And, when someone leaves the project, their local application and information is automatically deleted.
We can guarantee every team member is looking at the same information at the same time and we never restrict the numbers of registrants.
Project Closeout:
At the end of the project, instead of the contractor giving the Owner rolls of plans, boxes of specifications and CD’s that usually get put in that back room or storage facility, MySmartPlans creates a self-running, graphical user interface with an easy to use menu that includes all project documentation, videos, photos, etc.. This closeout tool becomes a key component for the project Owner, not a burden! Some of our Owner clients utilize MySmartPlans to archive existing projects, or, if they are already at the end of a project, contractors often engage us to do the final close-out documentation.
Every project document is re-processed into a PDF/A format which qualifies as an ISO standard allowing the project information to last for the next fifty (50) years. The complete closeout is vendor independent - it does not require MySmartPlans to be in business. We give this closeout dashboard back to you on a stick, DVD or whatever media you want. This is where your facilities management department can go to retrieve project information, manuals and equipment information.

We recently announced a new add-on module for collaborative exchange and tracking! AECSync allows the entire team to track and mark up submittals, RFI’s, and FF&E. It provides complete transparency, is highly customizable and at a low monthly cost (dependent on project size), this module is extremely affordable regardless of project size. The system automates workflows, creates weekly to-do lists for project team members, time and date stamps all activity and provides an detailed system for cross-referencing documents, plans, specs, etc. Very soon we will be releasing a new module to handle pay applications.
